Overview and setup guide for etrainu LMS administrators

AI Course Authoring is an add-on feature in the etrainu LMS that lets Administrators build interactive online courses from a prompt or an uploaded document. This article explains what the feature does, how to access it, and how to create your first course.

What is AI Course Authoring?
AI Course Authoring lets Administrators create course content directly inside the etrainu LMS, without needing a third-party authoring tool.
You can start from a written prompt, or upload an existing document such as a PDF, PowerPoint, or Word file. The AI produces a structured course draft, including lessons, interactive screens, and knowledge checks. You can then review, edit, and publish it through your normal course workflow.

How to set up your Brand Kit
The Brand Kit holds your organisation’s visual identity — logo, colours, fonts, and theme settings — in one place. Setting it up before you create your first course means every AI-generated course will match your existing training content automatically.
The Brand Kit is managed at the workspace level, so the same assets are available to every Administrator in your etrainu LMS.
What you can set in the Brand Kit

Setup steps
- Log in to your etrainu LMS as an Administrator.

Click the “Training” menu heading (1), then click “Course Assets” (2).

Click the “+ Create Course” button (3), then choose from any of the dropdown menu options (4).

Click the “Workspace Themes” icon (5), then click “Brand Kit” (6).
- Upload your organisation’s logo. Use a high-resolution PNG or SVG for best results. If you have alternate versions — a dark background variant, for example — upload these as well.
- Set your brand colours. You can enter HEX codes directly, or use the colour picker. Add your primary colour first, then your secondary and accent colours.
- Select your fonts. Choose a heading font and a body font from the font library.
- Configure your accent screen settings, including background colour and logo placement.
- Save your Brand Kit.
Your Brand Kit is now available across all course creation in your workspace.
Tips for setting up your Brand Kit
- Use the same logo file format consistently. SVG logos scale cleanly across screen sizes. PNG works if SVG isn’t available, but use a large version to avoid pixelation.
- Keep a record of your HEX codes. Store your brand colour codes somewhere your team can find them, so everyone works from the same values.
- Test with one course first. Build a short course, preview it end to end on desktop and mobile, and check every screen looks right before you roll the Brand Kit out across your library.
How to generate a course from a prompt
Use this method when you do not have a source document, or when you want the AI to build a course from scratch based on your description.
- Log in to your etrainu LMS as an Administrator.

Click the “Training” menu heading (1), then click “Course Assets” (2).

Click the “+ Create Course” button (3), then click “Generate using a prompt” (4).

Enter a prompt describing the course, including the topic, the audience, and the learning outcome, then click the “Submit” button (5). For example: “Workplace safety induction for new warehouse staff, covering manual handling, PPE, and incident reporting.”

Once all the required information has been gathered, click the “Generate Course Outline” button (6).

If you are satisfied with the proposed course outline, click the “Create Course” button (7).
The AI builds the course screen by screen, applying your Brand Kit as it goes. You can review and edit content as it appears.
How to create a course from a document
Use this method when you have existing source material, such as a policy, SOP, training manual, or legacy slide deck.
- Log in to your etrainu LMS as an Administrator.

Click the “Training” menu heading (1), then click “Course Assets” (2).

Click the “+ Create Course” button (3), then click “Transform a document” (4).

Add your file (5). Drag it onto the “Add a file” area, or click to browse. You can also import directly from Google Drive or OneDrive.
- Leave “Use Brand Voice” switched on (6) if you want the course written in your organisation’s tone of voice.
- Click “Submit” (7).
The AI analyses your document and produces a structured course ready for review, with your Brand Kit applied.
TIP
Files with clear headings, logical sections, and selectable text convert best. Remove or redact any content you do not want included before you upload. Scanned PDFs and image-heavy files usually need manual rework.
How to refine content with AI
Once a course has been generated, you can refine individual screens or blocks of text without rebuilding the whole course.
- Open the course in the course builder.
- Go to the screen you want to change.
- Select the text or element you want to refine.

Click “Refine” (1) at the right-hand end of the formatting toolbar.

Choose an option:
- Improve writing to tighten and clarify the wording
- Change tone to switch between Informal & conversational, Academic & research-based, and Motivational & persuasive
- Make shorter to condense the text
- Make longer to add more detail
- Review the suggestion, then accept, reject, or edit it.
How to generate an image with AI
- Open the screen where you want to add an image.
- Click the image placeholder.

Select “Generate” (1). The Add image panel also offers Upload, Pexels and Giphy, plus a searchable library of images already in your workspace.

Describe the image (2), then choose a Style (3) — Auto, Photo, Cinematic, Drawing, Vector or Painting — and a Ratio (4) — Square, Landscape or Portrait.
- Click “Generate” (5), then review the options and select one.
How to replace an AI-generated image with your own
AI-generated images are a starting point. For courses that need a specific visual style — showing your actual workplace, uniforms, or equipment, for example — replace them with your own assets.
- Open the screen containing the AI-generated image.
- Click the image.
- Select Replace.
- Upload your own image, or select one from your workspace’s image library.
How to add AI narration
- Open the course in the course builder.

Click the “Narration” icon (1) in the top-right toolbar.

Switch on “Use narration” (2). This pairs AI narration with the text on every screen in the course.
- Choose your language (3).
- Choose a voice (4). Eight are available: Leo, Eva, Max and Zoe (US), Ian and Amy (UK), Ben and Mia (AUS). Click the speaker icon beside a name to preview it.
- Optionally switch on “Autoplay” (5) to play narration automatically and advance through interactive elements, and choose whether learners must listen to the full narration before moving on.
- Click “Save changes” (6).
NOTE
The speaker icon in the text formatting toolbar is Upload audio file, for adding your own recordings in .mp3, .wav or .ogg format. It is a separate feature from AI narration.
How to translate a course
- Open the course in the course builder.

Click the “Languages” icon (1) in the top-right toolbar.

Click “Add translations” (2).

Select the language you want (3), then click “Translate language” (4).
- Review the translated content and adjust where needed.
How to apply or refresh the Brand Kit on an existing course
New courses created with AI Course Authoring pick up your Brand Kit automatically. If you have updated your Brand Kit and want to refresh an existing course, or you need to apply the kit manually:
- Open the course in the course builder.
- Go to the course settings or theme options.
- Select your Brand Kit, or choose Apply Brand Kit.
- Review each screen to check that logos, colours, and fonts have applied as expected.
- Adjust individual screens manually if needed.
Publishing your course
Once your course is finalised, contact your Customer Success Manager and they’ll publish it for you.

Access and availability
Is AI Course Authoring included in my subscription?
AI Course Authoring is an add-on feature available to customers on the etrainu Activate or Perform LMS tier, licensed on a per-user basis. Contact your Customer Success Manager to enable it.
Is this feature only available to LMS customers?
Yes. AI Course Authoring is built inside the etrainu LMS, and is only available to organisations using the etrainu LMS.
Is there a limit to how many courses I can create?
No. You can create as many courses as you like.
Editing and managing courses
Can I edit a course after it has been generated?
Yes. Courses stay fully editable after generation. From the main dashboard you can edit, preview, duplicate, or delete any course.
If a course has already been published on the LMS for learners and you make further changes, your Customer Success Manager will upload the new version for you.
Can AI-generated courses be added to playlists?
Yes. This is particularly useful for new starter onboarding, compliance bundles, and role-based learning.
Can AI Course Authoring include interactive elements?
Yes. The AI generates interactive screens, including knowledge checks and quiz questions, as part of the course build. You can add more screen types manually from the course builder.
Publishing and exporting
How are AI-authored courses uploaded into the etrainu LMS?
The process is similar to uploading a traditional SCORM course:
- Let your Customer Success Manager know which course you would like to publish.
- Your CSM exports the course from AI Course Authoring.
- Your CSM creates a course shell in the LMS.
- Your CSM checks the correct configurations are applied.
What export formats are supported?
SCORM 1.2 is currently supported.
Can courses be exported and uploaded into another LMS?
Yes. You can build courses in AI Course Authoring, export them, and upload them into another LMS platform.
Content and file uploads
What file types can I upload?
You can upload PDF, Word (.doc, .docx), PowerPoint (.ppt, .pptx), plain text (.txt) and Rich Text Format (.rtf) files, up to a combined size of 50 MB. Files with selectable text and clear structure produce the best results.
Languages and translation
How many languages are supported?
AI Course Authoring supports 30+ languages. If the language you need is not listed, let your Customer Success Manager know so we can consider it for the roadmap.
Data, security, and privacy
Where is customer data stored?
Australian organisations: all data is stored securely on, and isolated to, our Australian servers. etrainu ensures that Australian customer data remains within Australian-hosted infrastructure, and is managed in accordance with our security and data protection standards.
US and UK organisations: all data is stored securely on, and isolated to, our US servers. etrainu ensures that customer data remains within US-hosted infrastructure, and is managed in accordance with our security and data protection standards.
Is customer data shared across organisations?
No. AI Course Authoring does not share customer data, documents, content, interactions, or intellectual property across organisations. Each organisation operates in a fully isolated instance, which means:
- Uploaded documents remain private to your organisation
- Generated course content remains private
- Images and assets remain private
- User interactions remain private
- Your organisational IP remains private
There is no cross-organisational data visibility or reuse.
Does the AI use our content to train other organisations’ models?
No. All uploaded documents, generated content, and interactions stay isolated within your organisation’s instance. The tool does not learn from one organisation’s documents and apply those learnings elsewhere, does not share generated outputs between clients, and does not build a shared knowledge base from customer content.
How does etrainu approach AI security?
Security was a primary design consideration when we built AI Course Authoring. Because AI data handling raises real concerns, etrainu specifically ensured:
- No cross-organisation content leakage
- No sharing of behavioural data between customers
- No exposure of uploaded materials
- Secure data storage
- Instance-level isolation
This is the same security-first approach etrainu applies across its LMS platform.
