Playlists bring together multiple courses into a single, organised collection. Instead of managing each course separately, Playlists make it possible to:
Group related courses into one Playlist
Assign the whole Playlist in a single action
Ensure learners get a consistent set of training
Keep training collections up to date with simple edits
Once a Playlist is set up, it can be:
Assigned to individual learners
Assigned to multiple learners at once
Automatically assigned to new learners based on their organisation
All courses in a Playlist are available to learners as soon as they’re assigned, so they can start training straight away through their My Training page.
Who will benefit from Playlists
Playlists are most valuable for organisations who:
Need to deliver the same set of courses to multiple learners or groups (For example, create a Playlist for onboarding or annual mandatory training)
Have role-based or department-based training requirements
Want to streamline the assignment process and reduce admin time
Require a clear, consistent way to manage training content at scale
Playlists Basics
Playlists are made up of a few key components that define how they work and how they appear in the LMS. This section covers the key details of each Playlist, the different lifecycle statuses a Playlist can go through, and how learner progress is tracked.
Core Details
Each Playlist includes:
Playlist Name: The public-facing name (if surfaced to learners in future updates).
Internal Name: An internal reference used for versioning and admin purposes.
Organisation: The organisation the Playlist belongs to.
Linked Courses: All courses included in the Playlist.
Automated Assignment: Rules to assign the Playlist automatically to new learners in the organisation.
Statuses
DRAFT: The Playlist is still being set up and cannot be assigned to learners.
ACTIVE: The Playlist is published and can be assigned to learners. (Note: Once Active, it cannot be reverted to Draft)
ARCHIVED: The Playlist is retired and cannot be assigned. (Note: Once Archived, it cannot be returned to Active)
Assigned Statuses
When a Playlist is assigned to a learner, it will show one of the following statuses in admin reports:
IN PROGRESS: The learner has been assigned the Playlist and has not yet completed all courses. (Note: A learner can only have one “In Progress” assignment for a given Playlist at a time)
COMPLETED: The learner has completed all courses in the Playlist.
CANCELLED: The Playlist assignment has been cancelled for the learner.
Statuses update automatically as learners progress through the Playlist.
Playlist Reporting
The Playlist Report provides administrators with an overview of all Playlist assignments across their organisation. Key capabilities include:
Summary Cards: A snapshot of key metrics (Learners, Playlist Assignments, In Progress, Completed, Cancelled) that update as filters are applied.
Filters: Narrow down results by organisation, specific playlists, status, date ranges, and failed course enrolments.
Status Management: Manually cancel In Progress or Failed assignments directly from the report.
Default Reports: Pre-configured report views for common use cases.
Saved Reports: Save your current filter configuration as a named report for quick reuse. Private to the creator.
Scheduled Reports: Automatically email any saved report to nominated recipients on a daily, weekly or monthly cadence.
Export: Export results to .CSV, with an option to include individual course-level data.
