System Administrators have access to all Playlist management functions available to Organisation Administrators, with additional permissions that allow them to manage Playlists across multiple organisations.
This guide highlights the key differences when working with Playlists as a System Administrator. For all other functions, refer to Playlists for Administrators.
Playlist Visibility & Creation
All Playlists Visible: In the list view, System Administrators can see Playlists from all organisations in the system.
Create for any Organisation: When creating a Playlist, a required organisation selector is shown. You must select the organisation the Playlist belongs to before entering other details.
Course Access Restrictions: Once an organisation is selected, only courses available to that organisation will appear in search results. Courses from other organisations cannot be added.
Single Assignment
Cross-Organisation Access: System Administrators can view and select learners from any organisation when performing single assignments.
Organisation Filtering: When a learner is selected, the Playlist dropdown will only show Playlists from that learner’s organisation.

Same Validation Rules Apply:
Cannot assign Draft or Archived Playlists
Cannot reassign a Playlist that is in progress for that learner
Bulk Assignment
Cross-Organisation Jobs: System Administrators can run bulk admin jobs to assign Playlists across multiple organisations in a single job.
Organisation Rules Enforced: Each Playlist assigned in bulk must match the organisation of the learner it’s assigned to. This cannot be bypassed.
Reporting on Playlist Assignments
System Administrators can access the Playlist Report to view detailed information about Playlist assignments across all organisations. By default when loaded the report is empty until an organisation filter is selected..
Organisation Filter: The Playlist Report will not display any results until the organisation filter is selected from the dropdown. Only one organisation can be selected at a time; selecting multiple organisations is not currently supported.
Filtering and export: Once an organisation is selected, all standard filtering and export options are available as per the Administrator documentation.
Configuring Playlist Email Notifications
Playlist email notifications are configured per organisation via the Organisation Email Config in the admin area.
Under Playlist Notifications, two settings are available:
Playlist Started: Controls the email template sent when a learner's Playlist begins.
Playlist Completed: Controls the email template sent when a learner completes a Playlist.
Each field accepts either:
A template slug - to use a specific email template for that organisation. If left empty, the system default template is used (
default-playlist-startedordefault-playlist-completed).The value
NONE— to disable that email entirely for the organisation.
