Teach-Out lets administrators retire a playlist gradually rather than archive it outright. When a playlist moves into Teach-Out, no new learners can be assigned, while learners already in progress can continue and finish their training. Administrators can optionally set a Teach Out Date to close out remaining learners on a fixed day, and a Teach Out Playlist to migrate them to a replacement.
Administrators can manage Teach-Out from the Playlists area, where they can:
Move an Active playlist into Teach-Out from the Playlist List Page.
Optionally set a Teach-Out Date and, once a date is set, a Teach-Out Playlist.
Edit or remove both settings from the Playlist Configuration Page while the playlist remains in Teach-Out.
Learners already assigned the playlist continue as normal. If a Teach Out Date is set, remaining learners are closed out on that date and, if a Teach Out Playlist is configured, assigned to the replacement playlist and notified.
Who Will Benefit
Organisations replacing training content
A superseded playlist can wind down while its replacement takes over, with remaining learners migrated to the new playlist on a set date.
Learners partway through are not cut off abruptly, as they are with immediate archiving.
Compliance and training teams
New enrolments stop immediately, so nobody starts training that is being retired.
Completed records on the retiring playlist are preserved.
How It Works
The Teach-Out Status
Teach-Out is available on Active playlists only. The lifecycle path is Active → Teach-Out → Archived.
The Teach-Out status is visible in the Playlists list view.
From the moment a playlist enters Teach-Out, no new learners can be assigned: single, bulk, and automatic assignment are all blocked, and Automatic Assignment is suppressed.
In-progress learners continue as normal.
Administrators can move a playlist from Teach-Out to Archived at any time.
Teach Out Date
An optional date that closes out remaining learners. Only future dates are valid.
Without a date, the playlist winds down indefinitely: in-progress learners finish naturally and none are force-closed.
The date can be set, changed, or removed at any time while the playlist is in Teach-Out.
Teach Out Playlist
An optional replacement playlist that remaining learners are migrated to on the Teach Out Date.
A Teach Out Playlist can be selected only after a Teach Out Date is set. There can be a date without a target playlist, but not a target playlist without a date.
The Teach Out Playlist cannot be the playlist being retired.
What Happens on the Teach Out Date
A learner is considered Taught Out on the Teach Out Date if either:
They are In Progress on the playlist, or
They are Completed and have a Continued Learning reassignment date that falls after the Teach Out Date.
Taught Out learners are actioned in one pass on the date:
If a Teach Out Playlist is set: they are assigned to it, starting fresh with no progress carried over. Their assignment on the retiring playlist is marked based on its status: In Progress becomes Incomplete, and Completed becomes Reassigned (the same mapping Continued Learning uses).
If no Teach Out Playlist is set, in-progress assignments are marked Incomplete. Completed assignments are left unchanged as Completed.
Once remaining assignments are actioned, the playlist automatically moves to Archived. The playlist does not change status just because the date passes; the archive happens as part of this close-out run.
Teach-Out and Continued Learning
Teach-Out and Continued Learning are separate mechanisms. Moving a playlist into Teach-Out does not alter its Continued Learning configuration: Continued Learning keeps running on its normal schedule and settings up to the Teach-Out Date, and its settings remain editable throughout.
